Privacy Policy

('BESPIN GLOBAL Inc.' hereinafter referred to as “BESPIN GLOBAL”) has the following policy to protect the personal information of the user and to protect their rights and interests and handle user complaints related to personal information in accordance with the PERSONAL INFORMATION PROTECTION ACT.

In case BESPIN GLOBAL amends the privacy policy, it will be made public through the notice board on its website (or individually to each user).

  1. Purpose of Privacy

BESPIN GLOBAL processes personal information for the following purposes. The processed personal information will not be used for any purpose other than the following and prior consent will be obtained when the purpose of use changes.

  1. Website member registration and management

BESPIN GLOBAL handles personal information for the purpose of member qualification maintenance and management, prevention of corrupt service use, confirmation of consent of legal representatives when collecting personal information of children under 14, various notifications, and preservation of records for disputing settlement.

  1. Complaint handling

BESPIN GLOBAL handles personal information for the purpose of confirming complaints, contacting and notifying for factual inquiries, and notifying processing results.

  1. Provision of goods or services

BESPIN GLOBAL handles personal information for service provision, invoice delivery, payment of fees, settlement, etc.

  1. Use in marketing and advertising

BESPIN GLOBAL handles personal information for new service (product) development and provision of customized services, provision of event and ad information and participation opportunities, and service validation.

  1. Handling and Retention Period of Collected Information

① BESPIN GLOBAL shall handle and retain the personal information within the retention and usage period in accordance with the law or within the retention and usage period agreed upon when collecting the personal information from the subject.

② BESPIN GLOBAL shall retain the information provided by users as long as they use its services. However, BESPIN GLOBAL shall immediately destroy users’ personal information from its system when the users wish to unregister or when the users are disqualified and therefore subject to deregistration according to “Terms and Conditions”.

If the retention of any personal information is required under applicable laws such as COMMERCIAL ACT, ACT ON THE CONSUMER PROTECTION IN ELECTRONIC COMMERCE, ETC., the Company will retain the information for a certain period in compliance with these laws. In such case, the Company will retain the information only for its intended purpose, and its retention period is as follows:

  1. Consignment of Privacy Handling

BESPIN GLOBAL does not provide or disclose any of the collected personal information to third parties including for-profit and non-profit enterprises; however, it may share the information with a particular enterprise after obtaining prior consent from a user by letter, email, phone, or the website. BESPIN GLOBAL may provide personal information without prior consent of a user to relevant institutes if it is legally required to do so for the purpose of settling legal dispute between users or between the user and BESPIN GLOBAL.

② BESPIN GLOBAL, in accordance with Article 25 of the PERSONAL INFORMATION PROTECTION ACT, specifies the matters upon conclusion of consignment agreement, such as prohibition of privacy handling for purposes other than the consigned work, technical and managerial protection measures, restriction of re-consignment, management and supervision of outsourcing company, and liability including damages in contract documents, etc. Also, BESPIN GLOBAL supervises whether the outsourcing company handles personal information securely.

  1. Rights and Obligations of Information Subject and its Exercise Method

A User may exercise the following rights as a Personal Information Subject.

① The information subject may exercise any of the following rights related to personal information with BESPIN GLOBAL at any time:

  1. Access of personal information;
  2. Request for correction if there is an error;
  3. Request for deletion;
  4. Request for handling suspension.

② The exercise of the rights pursuant to Paragraph 1 may be made to BESPIN GLOBAL in writing, email, or FAX according to the Appendix Form 8 of the ENFORCEMENT RULES OF THE PERSONAL INFORMATION PROTECTION ACT and actions will be taken without delay.

③ If an information subject requests for correction or deletion of an error in his/her personal information, BESPIN GLOBAL will not use or provide the personal information until the correction or deletion is completed.

④ The exercise of the rights pursuant to Paragraph 1 above may be made through the legal representative of the information subject or the agent who has been delegated. In such case, a letter of delegation must be submitted according to Appendix Form 11 of the ENFORCEMENT RULES OF THE PERSONAL INFORMATION PROTECTION ACT.

  1. Items of Privacy Handling

① BESPIN GLOBAL handles the following personal information items.

  1. BESPIN GLOBAL collects personal information by letting users, who have agreed to “Terms and Conditions”, fill in the required fields upon registration. “Service Users” that use BESPIN GLOBAL services are required to insert information about email, name, and company upon registration.

Handles name and email information mandatorily in order to use ‘Contact Us’ service.

“Service Users” provide the name, company name, department name, and email information to use the service, and optionally collect account transfer information and credit card information to process payment of service usage fee. It is required to provide name, email, mobile phone number, phone number, address, and zip code. The collected personal information will not be used for any other purpose than for provision of relevant services or pre-set purposes.

  1. BESPIN GLOBAL utilizes cookies that store and retrieve user information. Cookies are a small piece of information transferred to a user’s browser by websites. Cookies do not distinguish a user’s computer or the customer individually. Furthermore, users have options on cookies; users may allow all cookies by changing the settings of the web browser, set cookie alerts whenever installed, or refuse all cookies.

  1. Personal Information Destruction

BESPIN GLOBAL, in principal, immediately destroys the information after the purpose of privacy handling is achieved. The procedures, period, and methods of destruction are as follows.

① Destruction procedure: After the purpose has been accomplished, the information entered by the user is transferred to a separate DB (in the case of paper, separate documents), and destroyed after being stored for a certain period of time or immediately in accordance with the internal policy and related laws. This personal information transferred to the DB will not be used for any other purposes unless otherwise provided by law.

② Destruction period: In case the retention period for personal information has elapsed, the user’s personal information shall be destroyed within five (5) days from the end of the retention period. In case the personal information becomes unnecessary, such as after the achievement of Purpose of Privacy, the revocation of the service or the termination of the business, the personal information shall be destroyed within five (5) days from the day when it is recognized as unnecessary to handle personal information.

Destruction method

  1. Personal information in electronic files is deleted using technical methods that prevent it from being regenerated.
  2. Personal information printed on paper is shredded by a shredder or destroyed by incineration.

  1. Measures to Ensure the Safety of Personal Information

BESPIN GLOBAL, in accordance with Article 29 of the PERSONAL INFORMATION PROTECTION ACT, carries out the following technical, managerial, and physical measures to ensure safety.

① Performance of regular self-audits

BESPIN GLOBAL regularly conducts self-audits to ensure the safety of privacy handling.

② Minimization and training of employees that handle personal information

BESPIN GLOBAL implements measures to manage personal information by designating employees that handle personal information and minimizing them by limiting them to the person in charge.

③ Establishment and implementation of an internal management plan

An internal management plan is established and implemented for the safe handling of personal information.

④ Technical measures against hacking, etc.

BESPIN GLOBAL installs a security program, periodically conducts updates and maintenance, installs the system in an external-access-controlled-area, and technically and physically monitors and blocks it to prevent leakage and damage of personal information by hacking or computer virus, etc.

⑤ Encryption of personal information

The personal information of the user and password are stored and managed after encryption, such that they are only known to the member. Separate security features such as the file and transmission data encryption or use of file lock function are used for important data.

⑥ Retention and prevention of forgery and alternation of access logs

BESPIN GLOBAL retains and manages the logs of access to the personal information processing system for at least six months and uses the security function to prevent forgery, alteration, theft and loss of access logs.

⑦ Restriction on access to personal information

BESPIN GLOBAL takes necessary measures to control access to personal information through granting, modifying, and deleting access rights to the database system that handles personal information. BESPIN GLOBAL also controls unauthorized external access by using a firewall system.

⑧ Use of locks for document security

Documents and supplementary storage media with personal information are kept in a safe place with a lock.

⑨ Access control to unauthorized persons

BESPIN GLOBAL has a separate physical storage area that stores personal information, and access control procedures are established and operated for it.

  1. Change of Privacy Policy

① This Privacy Policy shall be effective from the effective date. The Company will inform users promptly of any addition, deletion, or amendment made to this Privacy Policy in accordance with laws by posting “notification” at least 7 days prior to the implementation of the changes.
